Every police department, sheriff’s office, and specialized unit has its own code, which travels with a case from booking through court and, if applicable, post-conviction supervision.
How the Codes Are Built
The format is standardized. The first characters identify the broader jurisdiction, such as a county or city, and the remaining digits point to the specific agency within it. That structure is what keeps the Los Angeles Police Department separate from the Los Angeles County Sheriff’s Department in the record system, even though both operate in the same geography.
Uniqueness matters most when more than one agency touches a case. Joint task forces, interdepartmental investigations, and referrals between local and state authorities all rely on the codes to keep attribution clean inside the California Justice Information Services (CJIS) system, which pulls together local, state, and federal data.
Specialized agencies carry their own identifiers too. The California Highway Patrol has a code distinct from any municipal police department, which is how traffic enforcement stays separated from other offense categories. University police, such as the University of California Police Department, are also coded separately so that campus incidents are attributed correctly.
Where the Code Appears on Documents
Arrest reports are the most common place to find the code. Because these reports form the basis of any prosecution, the arresting agency has to be identified accurately; prosecutors and defense attorneys use the code to confirm the arrest and confirm jurisdiction.
Charging documents filed with the court also list it, which is how clerks route subpoenas and correspondence to the right agency. Traffic citations carry the code as well, showing whether a municipal officer or the CHP issued the ticket, which in turn determines where fines are processed and hearings scheduled.
How to Verify a Code
Verification runs through official databases. At the state level, CJIS is managed by the California Department of Justice, and access to state summary criminal history information is restricted. County-level tools fill in the rest. Many sheriff’s departments and municipal police agencies run online inmate lookup pages that list the arresting agency. Falsifying a Code or Record
