Can You Replace a NYS Security Guard License Online?

You cannot fully replace a NYS security guard license online. New York’s Department of State keeps security guard registrations off its online update system, so a lost, stolen, or damaged card has to be replaced by mailing a paper Duplicate License/Registration Request to the Division of Licensing Services. A few preparatory steps, including downloading the form and looking up your UID number, can be done on the Department’s website.1New York State. Renew or Update a Professional License

What You Can Do Online

Two parts of the process live on the Department of State website. The first is the Duplicate License/Registration Request form itself, which you download, print, and complete. You need one form for each registration you want replaced. The second is the licensee and registrant index, a public search tool that lets you confirm your current registration information, including your UID number, if you don’t have the old card in front of you.2New York State Department of State. Everything after that happens on paper and through the mail.

Filling Out and Mailing the Duplicate Request

On the form, you’ll select your registration type, enter your UID number, and give the mailing address where the replacement card should be sent. The fee due is listed on the form itself by registration type. You can pay by check or money order made out to the NYS Department of State, or charge a Mastercard or Visa by completing Credit Card Authorization form DOS-1450 and sending it in with the request. Do not mail cash. A returned check carries a $20 fee.2New York State Department of State. Duplicate License/Registration Request

For regular mail, send the form and payment to:

For express or next-day ground delivery, use the physical address:

The Department does not publish a turnaround time for duplicate cards. Keep a copy of your completed form and payment confirmation. If the replacement doesn’t arrive after a reasonable period, contact the Division of Licensing Services to check on the request.

If You Need to Change Your Name or Address

The duplicate form only replaces the physical card. It is not the right form for correcting information on your registration. Name and address changes require a separate Change Notice form, DOS-1473. If your card is lost and your address has also changed, you need both forms.2New York State Department of State. Duplicate License/Registration Request

Duplicate or Renewal?

A duplicate replaces the card for a registration that is still active. Renewal is a different process for a registration nearing or past its expiration date. New York security guard registrations are valid for two years, and renewal forms are mailed to you roughly 90 days before expiration.3Department of State. Renew or Update Security Guard License

If your card is missing and your registration also happens to be close to expiring, renewing is usually the better move. A duplicate of a card that expires in a few weeks just means doing the renewal paperwork right after.

Working While You Wait

Your card is proof of a valid registration, and New York takes working without one seriously. Under the Security Guard Act, acting as a security guard without proper registration is a misdemeanor, with a first conviction carrying up to six months in jail, a fine of up to $1,000, or both. Failing to surrender a registration card when required carries a separate fine of up to $250.4New York State Senate. New York General Business Law GBS Article 7-A 89-P – Violations and Penalties

If your underlying registration is still valid and only the physical card is missing, do not assume on your own that you can keep working while the replacement is in the mail. Confirm with your employer and, if there’s any doubt, with the Division of Licensing Services before your next shift.
