How Long Do IHSS Electronic Timesheets Take to Process?

An error-free IHSS electronic timesheet is paid within 10 working days after the Timesheet Processing Facility (TPF) in Chico receives it.1California Department of Social Services (CDSS). The Path From Submit to Paid

Four things have to happen before money reaches you, and each has its own timing.

First, you submit the timesheet through the Electronic Services Portal (ESP) after the pay period closes. Second, your recipient has to approve it. Nothing moves until they do. A recipient who takes a week to review is a week added to your wait.

Third, the approved timesheet arrives at the TPF, and the 10-working-day processing window begins. Working days means weekends and state holidays do not count.

Fourth, the TPF issues payment. The 10-day window covers everything through printing a check or initiating a direct deposit, so the money should be moving by day 10 at the latest. What Can Slow a Timesheet Down

About 1.3 percent of timesheets each month, roughly 14,000, contain errors that push them out of the automated pipeline and into manual review by county staff.3California Department of Social Services. IHSS Payroll Process Once a timesheet is flagged, days or weeks can be added depending on how quickly the problem gets resolved.

The common reasons a timesheet gets flagged:

  • Missing provider signature, which on electronic timesheets usually means the final submission step wasn’t completed.
  • Hours exceeding the recipient’s authorization.
  • More than 70 percent of the recipient’s monthly hours claimed in a single pay period.
  • Signature verification holds, which the system applies to a random selection of timesheets.
  • Eligibility issues affecting the provider or recipient during the service period.

High volume around pay period deadlines and scheduled system maintenance can also add minor delays, but those are small compared to a flag.

How to Check Your Timesheet Status

The ESP at etimesheets.ihss.ca.gov shows you exactly where a timesheet stands.4Department of Social Services. Electronic Services Log in, open the Payments section, and select Recent Payments. Each timesheet will show as pending recipient approval, processing at the TPF, or paid. Checking regularly is the fastest way to catch a hold before it delays your next paycheck too.

Getting Your Recipient to Approve Faster

Because the processing clock doesn’t start until the recipient signs off, their approval speed matters as much as yours. Recipients have two ways to approve.

They can log into the ESP and approve or reject the timesheet online. Or they can use the Telephone Timesheet System (TTS), designed for recipients without a smartphone, computer, or tablet. To use the TTS, the recipient contacts their county IHSS office to enroll and set up a Recipient Authentication Number (RAN). Once enrolled, they get an automated call when a timesheet is ready, verify identity with their case number and RAN, hear the timesheet details read aloud, and approve or reject by phone. The system is available in English, Spanish, Mandarin, and Armenian.

If your recipient routinely lets timesheets sit for days, suggesting the TTS is often the practical fix.

How the Payment Reaches You

Since July 1, 2022, all IHSS providers must be paid by direct deposit or pay card. Direct deposit removes mail time from the equation entirely. You’ll be paid by paper check until direct deposit takes effect, then future payments will land in your account automatically. You can sign up for direct deposit or change your account through the ESP.

What to Do When Payment Is Late or Wrong

If 10 working days have passed since the TPF received your approved timesheet and nothing has arrived, or the amount is off, start in the ESP. The status will tell you whether the timesheet is still waiting on your recipient, was rejected, or is stuck in processing. A rejected timesheet means your recipient disagreed with the hours; you can correct and resubmit it in the ESP for another review.

If the problem is an overpayment because you claimed more hours than your recipient was authorized for, raise it yourself instead of waiting for the county to find it. Unresolved overpayments can affect your future eligibility.
