To amend a California tax return, file a corrected Form 540 (or Form 540NR if you were a nonresident or part-year resident) together with Schedule X, the form that explains what changed and recalculates whether you owe more or are due a refund. You can file the amendment electronically for the current year and the two prior years, or send it on paper to the Franchise Tax Board (FTB). The details below cover when an amendment is actually required, what to put on Schedule X, and the deadlines that decide whether a refund is still available.
When You Actually Need to Amend
Amend when the original return got your tax liability wrong in a way the FTB wouldn’t catch on its own. Typical reasons: a late-arriving W-2 or 1099, a deduction or credit you forgot, a dependent you left off, a switch between the standard deduction and itemizing, or a wrong filing status.1Franchise Tax Board. Amend an Income Tax Return You also need to amend if the IRS changed your federal return in a way that affects your California tax.
You do not need to amend for arithmetic mistakes. The FTB catches those in processing and mails a Notice of Tax Return Change with the corrected numbers. If you agree, no further action is needed.2Franchise Tax Board. Notice of Tax Return Change
What to Gather Before You Start
Pull your original California return and every document tied to the change: corrected W-2s, new 1099s, K-1s, receipts for a deduction you’re now claiming, or the IRS notice that triggered the state adjustment. You’ll be filing three things together:
- Form 540 or Form 540NR, using the same form type you originally filed, redone from scratch with the corrected figures.
- Schedule X, which explains the changes and computes the new refund or balance due.
- Copies of the supporting documents that back up each change.
The forms are free on the FTB website.1Franchise Tax Board. Amend an Income Tax Return Note that CalFile, California’s free filing system, does not handle amended returns, so you’ll need commercial tax software or the paper forms.3Franchise Tax Board. Help With CalFile
Filling Out Schedule X
Complete your amended Form 540 through line 115 (or Form 540NR through line 125) first. Then transfer the key figures onto Schedule X, which puts the original amounts next to the corrected amounts so the FTB can see exactly what moved and by how much.4Franchise Tax Board. 2024 Instructions for Schedule X California Explanation of Amended Return Changes
The explanation section is the part people rush and the part that most often causes delays. Describe each change separately and specifically. “Updated income” isn’t enough. Something like “Added $4,200 in freelance income from a 1099-NEC received after original filing” gives the FTB what it needs to process the return without kicking it back for clarification.
How to Submit the Amended Return
California accepts amended returns online and on paper.1Franchise Tax Board. Amend an Income Tax Return

Deadlines That Decide Whether a Refund Is Still Available
The deadline depends on which direction the amendment goes.
If You’re Claiming a Refund
File by the later of four years from the original due date of the return (or from the date you filed, if you filed on time), or one year from the date you overpaid.6California Legislative Information. California Code RTC 19306 Whichever falls later controls. Miss it and the FTB cannot issue the refund, no matter how clearly you overpaid.
If the IRS Changed Your Federal Return
When an IRS adjustment affects your California tax, you generally have two years from the date the IRS makes the change to file a California amended return claiming a refund tied to that adjustment.7Franchise Tax Board. Claim for Refund The clock starts when the IRS finalizes its change, and California will not extend it because you didn’t realize the federal change had state consequences.
If You Owe More Tax
There is no deadline stopping you from filing an amendment that increases what you owe. The FTB will always accept it. But interest and penalties keep accumulating, so filing sooner costs less.
Interest, Penalties, and Payment Plans
Interest on additional tax runs from the original due date of the return, not from the date you file the amendment. Through June 30, 2026, the FTB’s underpayment interest rate is 7%.8Franchise Tax Board. Interest and Estimate Penalty Rates
A late-payment penalty stacks on top: 5% of the unpaid tax plus 0.5% for each month the tax remains unpaid, capped at 25%. You may be able to avoid the penalty by showing reasonable cause, and California offers a one-time penalty abatement for individual taxpayers with an otherwise clean compliance history.9Franchise Tax Board. If You Can’t Pay in Full
The FTB offers installment agreements to individuals who owe $25,000 or less and can pay the balance within 60 months. There is a $34 setup fee. What Happens After You File
Amended returns take much longer than originals to process. For individuals, plan on four to six months, and longer if the FTB needs more information.11Franchise Tax Board. After You Submit an Amended Income Tax Return When processing finishes, you’ll get one of three things: a refund, a bill, or a letter asking for more information.
If a Notice of Proposed Assessment (NPA) arrives, the FTB is saying you owe additional tax, penalties, or interest beyond what your amended return calculated. You have 60 days from the date on the notice to file a protest.12Franchise Tax Board. Notice of Proposed Assessment That window is firm. Miss it and the proposed amount becomes final, and your options narrow considerably.
Amending a Return for Someone Who Has Died
A surviving spouse or personal representative can amend a return on behalf of a taxpayer who has died. Use the same Form 540 or 540NR and Schedule X, and write “Deceased,” the taxpayer’s name, and the date of death at the top.13Franchise Tax Board. Deceased Person (Decedent) A surviving spouse who filed jointly can sign. Otherwise, the court-appointed personal representative signs. If a refund is due and you are neither the surviving spouse nor a court-appointed representative, expect to include additional documentation establishing your authority to claim it.
