How to Apply for an EIN Number in Oklahoma: Online, Fax, or Mail

To apply for an EIN in Oklahoma, use the free online application at irs.gov. The Employer Identification Number is a federal tax ID issued by the IRS, not a state agency, so the process is the same whether your business is in Tulsa, Oklahoma City, or anywhere else. The online tool issues your nine-digit number in minutes. Once you have it, Oklahoma has its own registration steps to handle before you start collecting sales tax or paying employees.

Do You Actually Need an EIN?

Every corporation, partnership, and multi-member LLC needs an EIN, even without employees. Any business with workers on payroll needs one. You also need an EIN if your business withholds taxes on payments to non-resident aliens or files excise, alcohol, tobacco, or firearms tax returns. Trusts, estates, and tax-exempt organizations each need their own.1Internal Revenue Service. Employer Identification Number

Sole proprietors are the exception. They can usually file under their Social Security Number. A sole proprietor still needs an EIN when hiring employees, filing for bankruptcy, or opening a Keogh retirement plan.

What to Gather Before You Apply

The application is built on IRS Form SS-4. Have the following ready so you can finish in one sitting:2Internal Revenue Service. Instructions for Form SS-4

  • The exact legal name on your Oklahoma Secretary of State formation documents, plus any trade name or DBA.
  • Your business mailing address and the physical location if it differs.
  • Entity type: sole proprietorship, partnership, corporation, LLC, trust, estate, or nonprofit.
  • Reason for applying: new business, hiring, banking, or a structural change.
  • The date the business started or was acquired, the number of employees you expect in the next 12 months, and your principal business activity.
  • The responsible party — the person who controls the entity — along with their SSN. If the applicant is an entity, use its existing EIN.

The Three Ways to Apply

The IRS accepts applications online, by fax, and by mail. All three are free. Several third-party sites charge for what the IRS does at no cost, so apply directly through irs.gov.3Internal Revenue Service. Get an Employer Identification Number

Online

The online application is the fastest route for any business located in the United States. You answer a series of questions, and if everything validates, the IRS issues your EIN on screen immediately. The tool runs Monday through Friday from 6:00 a.m. to 1:00 a.m. the next day, Saturday from 6:00 a.m. to 9:00 p.m., and Sunday from 6:00 p.m. to midnight, all Eastern Time.3Internal Revenue Service. One catch: the IRS limits each responsible party to one online EIN application per day.3Internal Revenue Service. Get an Employer Identification Number If you are forming more than one entity at the same time, space the applications across different days or fax the extras.

Fax

Complete Form SS-4 and fax it to 855-641-6935. If you include a return fax number, the IRS typically faxes your EIN back within four business days.2Internal Revenue Service. Instructions for Form SS-4 This is a good backup when the online tool is down or a representative is applying for you.

Mail

Send the completed SS-4 to Internal Revenue Service, Attn: EIN Operation, Cincinnati, OH 45999. Processing takes about four weeks.2Internal Revenue Service. Instructions for Form SS-4 Only choose mail if the other two methods are not options.

What Arrives After You Apply

Online applicants can use the EIN right away. Fax and mail applicants receive it through the same channel on the timelines above. In every case, the IRS mails a confirmation notice called CP 575 to the address on your application. It lists your EIN, business name, tax classification, and the returns you are expected to file.3Internal Revenue Service. Get an Employer Identification Number

Keep CP 575 somewhere safe. Banks and licensing agencies sometimes ask for it as proof of your EIN, and the IRS does not reissue this specific letter.

Oklahoma Registrations That Come Next

Your EIN handles federal tax obligations. Oklahoma requires separate state-level registration before you can collect sales tax, withhold state income tax from employees, or operate as certain entity types.

Secretary of State

Corporations, LLCs, limited partnerships, and limited liability partnerships must file formation documents with the Oklahoma Secretary of State before doing business in the state.4Oklahoma Secretary of State. Business Forms Online registration takes about 15 minutes and costs $100 plus a service fee.5Oklahoma.gov. Register Your Business Sole proprietors and general partnerships skip this step unless they want to register a DBA.

Oklahoma Tax Commission

After your entity is formed, register with the Oklahoma Tax Commission for any state tax accounts you need, such as a sales tax permit or a withholding account. The portal is OkTAP at oktap.tax.ok.gov.6Oklahoma.gov. New Business Center You will enter your federal EIN during this registration, which is why it makes sense to get the EIN first.

Local Licenses

Oklahoma has no general state business license for most industries, but many activities require a specific state permit, and cities and counties may have their own licensing rules.7Oklahoma.gov. Licenses and Permits Call your city clerk’s office to confirm whether a local business license applies.

When a Change Forces a New EIN

An EIN belongs to the entity, not the owner, and certain structural changes mean you have to apply for a new one rather than keep using the old number. Common triggers include a sole proprietor incorporating or forming a partnership, a corporation receiving a new charter or merging into a new corporation, a partnership incorporating or being taken over by one partner as a sole proprietor, and an LLC being terminated and reformed as a corporation or partnership. A single-member LLC also needs a new EIN if it becomes required to file excise or employment taxes.8Internal Revenue Service. When to Get a New EIN

Routine changes do not. Adding a member to an LLC, moving to a new address, or changing your business name all let you keep the same EIN.

Updating or Closing the Account

If your address, location, or responsible party changes, file Form 8822-B with the IRS. Changes in the responsible party must be reported within 60 days.9Internal Revenue Service. About Form 8822-B, Change of Address or Responsible Party – Business

If the business closes or never opens, the IRS cannot cancel the EIN itself, because the number stays permanently tied to that entity. You can ask the IRS to deactivate the account so it stops expecting returns.10Internal Revenue Service. If You No Longer Need Your EIN A proper closure also means filing final tax returns and settling any outstanding tax.11Internal Revenue Service. Closing a Business Skip those steps and the IRS can keep sending notices for unfiled returns on a business that never made a dollar.
