How to Apply for Disability in California: SDI Online or by Mail

To apply for disability in California, you file a Claim for Disability Insurance Benefits (Form DE 2501) with the Employment Development Department, either online through the SDI Online portal or by mailing a paper form. Your doctor submits a separate medical certification confirming your condition. You can file as early as nine days after your disability begins and must file within 49 days. Approved claims pay between $50 and $1,765 per week for up to 52 weeks.1Employment Development Department. Disability Insurance Benefits

Check That You Qualify First

State Disability Insurance covers most private-sector employees in California automatically, funded by a 1.3% payroll deduction with no wage ceiling as of January 1, 2024.2Employment Development Department. Contribution Rates and Benefit Amounts Some public-sector workers are covered if their employer opted in through a collective bargaining agreement. Self-employed people are not covered unless they elected coverage through the EDD.

You need to meet three conditions to receive benefits:3Employment Development Department. Am I Eligible for Disability Insurance Benefits?

  • You earned at least $300 in wages during your base period with SDI taxes withheld.
  • You can’t perform your regular work duties because of a physical or mental condition, illness, or pregnancy.
  • You are under the care of a licensed physician or practitioner who will certify your disability.

Your base period is a 12-month window of past earnings, generally covering wages from roughly 5 to 18 months before your claim starts, and it determines both your eligibility and your weekly benefit amount.4Employment Development Department. Calculating DI Benefit Payment Amounts

What to Gather Before You Start

Having everything ready prevents the EDD from pausing your claim to request missing information. Pull together:

  • Your Social Security number. Without one, you’ll need to file on paper (covered below).
  • The legal name, mailing address, and phone number of every employer you worked for in the 18 months before your disability began.
  • The exact date you last worked, meaning the day your condition first prevented you from doing your regular job.
  • Your doctor’s full name, address, phone number, and license number.
  • Details about any sick leave, vacation pay, PTO, or workers’ compensation you’re receiving, since these can affect your benefit amount.

Filing Online Through SDI Online

The online path is faster because the EDD doesn’t have to scan or key in anything manually. Start at myedd.edd.ca.gov and create a myEDD account using a valid email address.5Employment Development Department. Create Your Account – myEDD Once registered, log in and select the option to file a new disability claim.

The system walks you through Part A of Form DE 2501, the Claimant’s Statement, where you enter your personal information, employment history, and details about your condition. When you submit Part A, you’ll see an immediate confirmation and the system will generate a unique receipt number. Save that number. You give it to your doctor so they can locate your claim and complete Part B through the same SDI Online system.

Filing by Paper Mail

If you prefer paper, or if you can’t use the online system, request a physical Form DE 2501 by calling the EDD or downloading it from edd.ca.gov. Complete Part A yourself, then hand the form to your doctor to fill out Part B. Mail the completed form in the pre-addressed envelope that comes with it. Expect a longer wait, because paper claims require manual data entry on the EDD’s end.

Filing Without a Social Security Number

Undocumented workers who have had SDI taxes withheld can still apply, but only on paper, because SDI Online requires an SSN. Along with Form DE 2501, attach a letter stating your preferred language for communication, any other names you’ve used, any SSNs used to earn wages, and how you were paid. Include proof of wages such as W-2s, pay stubs from the last 18 months, or records of cash payments like bank deposit statements or payment app receipts. The EDD keeps immigration information confidential, and filing does not affect any path to citizenship. If your claim is approved without an SSN on file, payment is issued only by check.6Employment Development Department. Benefits and Resources for Undocumented Workers

Your Doctor’s Half of the Claim

Part B, the Physician/Practitioner’s Certificate, is where many claims stall. Your doctor confirms the diagnosis, describes how the condition prevents you from working, estimates when you can return, and supplies the diagnostic codes that justify the leave. Your doctor must submit the signed certification within 49 days of your disability start date.7Employment Development Department. How to File a Disability Insurance Claim in SDI Online A late certification can disqualify your claim or cost you benefits, so follow up with your doctor’s office to confirm they submitted it.

When to File

The EDD gives you a specific filing window:

  • Earliest: nine days after your disability begins.
  • Latest: 49 days after your disability begins.

You can technically submit a claim on day one, but the EDD recommends waiting until day nine to avoid processing complications.8Employment Development Department. Disability Insurance Claim Process Filing after the 49-day deadline can get your claim disqualified. If you have a valid reason for a late filing, include a written explanation with your claim so an analyst can review the circumstances.3Employment Development Department. What Happens After You File

Every SDI claim includes a seven-day non-payable waiting period. No benefits are paid for the first seven consecutive days of your disability; benefits begin accruing on the eighth day.9Cornell Law School Legal Information Institute. Cal. Code Regs. Tit. 22, 2627(b)-1 – Waiting Period

Once the EDD has both your claim and the medical certification, processing takes about 14 days.10Employment Development Department. It’s Now Easier to Check Your Disability or Paid Family Leave Claim Status During that window, the EDD verifies your wages, confirms your eligibility, and reviews the medical certification. You’ll receive a Notice of Computation showing your calculated weekly benefit amount. The EDD may request additional information or, in some cases, schedule an independent medical examination with a state-contracted physician. Missing that appointment can suspend your benefits.

You can track status, view payment dates, and read messages from the EDD through SDI Online. Paper filers get updates by mail.

How You Get Paid

The EDD offers three payment methods:11Employment Development Department. Your Benefit Payment Options

  • Direct deposit to your bank account, usually within three days of approval, with no fees.
  • A Money Network prepaid debit card, with the first payment arriving in 7 to 10 days and later payments typically within two days of approval.
  • A paper check by mail, arriving 7 to 10 days after approval.

If Your Recovery Takes Longer Than Certified

Benefits can run up to 52 weeks total. If your initial certification covers a shorter period and you still can’t return to work by the time your final payment issues, the EDD will mail you a Physician/Practitioner’s Supplementary Certificate (Form DE 2525XX). Your doctor completes this to certify that the disability continues, and it can be submitted through SDI Online or by mail. If you don’t return the form, benefits stop even if you’re still disabled.8Employment Development Department. Disability Insurance Claim Process

If Your Claim Is Denied

You have 30 calendar days from the mailing date on the denial notice to appeal. File by completing Form DE 1000M or by writing a letter and sending it to the EDD office listed on the notice.12California Unemployment Insurance Appeals Board. Appeal Process The EDD forwards your appeal to the California Unemployment Insurance Appeals Board, which schedules a hearing before an administrative law judge. You’ll get at least 10 days’ notice before the hearing. You can present medical records, pay stubs, correspondence, and bring witnesses.

If the judge rules against you, you have another 30 days to appeal to the Appeals Board itself. If that decision is also unfavorable, you can file a Petition for Writ of Mandate in your county’s Superior Court within six months of the Board’s final decision.

SDI Does Not Protect Your Job

A common and costly misunderstanding: SDI pays wages while you’re out, but it does not require your employer to hold your position.13Employment Development Department. Family and Medical Leave Act and California Family Rights Act FAQs Job protection comes from separate laws. Fact Sheet 28A: Employee Protections under the Family and Medical Leave Act California’s Family Rights Act provides similar protections and may reach smaller employers. Your employer may require FMLA or CFRA leave to run concurrently with your SDI benefits. If keeping your job matters, check whether you qualify under either law before or at the start of your leave.
