Which Tool You Should Use
The public Licensee Search is open to anyone, requires no login, and covers every license type the Division of Licensing Services oversees. It returns active registrations only.2New York State Department of State. Division of Licensing Services – Licensee Search If a guard’s registration has expired, been revoked, or was never issued, the public search simply returns no match, and it won’t tell you which of those it is.
The Online Security Guard Registry is built for employers. It requires the company’s own eleven-digit Unique Identification Number (the UID starting with “11” that the Division assigns to businesses), and instead of searching by name it takes the applicant’s Social Security number. In return it produces a registration status, a plain hire-or-don’t-hire determination, and a transaction number for your records.1New York State Department of State. Checking a Guard on the Public Licensee Search
Go to the Division of Licensing Services Licensee Search page at appext20.dos.ny.gov. You have two ways in.2New York State Department of State. Division of Licensing Services – Licensee Search
- Search by ID number. Enter the guard’s Unique ID or registration number. This is the fastest route and avoids the multiple-match problem with common names. The UID is printed on the guard’s registration card and typically begins with “100.”
- Search by name. The last name field is required. You can add a first name plus a city, ZIP code, or county to narrow the results.
The system checks state records in real time. If an active registration matches, the guard’s information and expiration date appear. If nothing comes back, the person either has no registration on file or their registration isn’t currently active. The public tool won’t distinguish between those situations.
Running a Check as an Employer
Log in at securityguardregistry.ny.gov using the company’s eleven-digit UID. Enter the applicant’s Social Security number. The registry returns three things: the individual’s registration status, whether the person is cleared to hire, and a transaction number.1New York State Department of State. Print or save the summary. The transaction number is your documented proof that the verification was performed, and keeping it on file is how a company shows it met the due diligence requirement.1New York State Department of State. Online Security Guard Registry
What the Results Mean
On the public search, a hit means the guard is currently registered and authorized to work. No hit means the registration is expired, revoked, denied, or was never issued in the first place. If you need to know which, run the employer registry check instead.
On the employer registry, an active status with clearance to hire means the guard has completed all required training and background checks and holds a valid registration. If the system flags the person as not eligible, you cannot legally assign them to security duties, whatever the underlying reason.
Why a Registration May Not Show as Active
Registration status is tied directly to training. New York registrations last two years, and to stay eligible for renewal a guard must complete the 8-hour annual in-service training in each calendar year of the registration period, adding up to 16 hours over the two years.3New York State Department of State. Security Guard Training Requirements Falling behind on that annual training is one of the most common reasons a registration lapses and stops appearing as active.
Expiration itself is the other frequent cause. A card that has been expired for six months or more sends the guard back to square one as a new applicant, with fresh fingerprints and a new application.4New York State Department of State. Why the Check Matters
Working as a security guard without a valid registration, or employing someone who lacks one, is a misdemeanor under the Security Guard Act. A first conviction carries up to six months in jail, a fine of up to $1,000, or both. A subsequent conviction raises the ceiling to one year in jail and a fine between $1,000 and $2,500, or both.5New York State Senate.
