How to Fill Out and Sign Arizona Form AZ-8879: Review, Sign, Submit

Arizona Form AZ-8879 is the authorization that lets your tax preparer, acting as an Electronic Return Originator (ERO), use your federal e-file signature as your signature on your Arizona individual income tax return.1Arizona Department of Revenue. Information for Tax Preparers The form lives inside the e-file software your preparer uses. You can’t download it separately, and it has no role on a paper return. When you sign it, you’re confirming that the numbers on your Arizona return are truthful, correct, and complete before your preparer transmits the return to the Arizona Department of Revenue (ADOR).

When the Form Applies

AZ-8879 is used whenever an ERO e-files one of the standard Arizona individual income tax returns for you. That covers Form 140 (full-year resident), 140A (resident short form), 140EZ, 140NR (nonresident), 140PY (part-year resident), and 140PTC (property tax refund credit claim).2Arizona Department of Revenue. If you prepare and e-file your own return through consumer tax software, you sign with a self-selected PIN and AZ-8879 doesn’t come into play. The form exists specifically for the preparer-taxpayer relationship.

What to Check Before You Sign

Your preparer’s software generates the form from the return itself, so you aren’t filling in boxes by hand. Your job is to read it carefully and make sure everything matches.

Names and Social Security Numbers

Confirm your full legal name and SSN, and on a joint return, your spouse’s as well. These must match Social Security Administration records exactly. A misspelled name or a transposed digit is one of the quickest ways to trigger a rejection.

The Dollar Figures

Several amounts from your Arizona return carry over to AZ-8879 so you can verify them before authorizing transmission. These typically include Arizona adjusted gross income, taxable income, total tax, Arizona income tax withheld, and the refund or balance due. Each figure should match the corresponding line on your main return exactly.

Banking Information

If you’re paying a balance by electronic funds withdrawal or receiving a refund by direct deposit, the form captures your bank routing and account numbers. Direct deposit on an accepted e-filed return can put your refund in your account in as few as five days.3Arizona Department of Revenue. E-File Services A single wrong digit sends the money to the wrong account, and recovering it takes far longer than the original processing would have.

Preparer Information

The ERO completes a section identifying themselves and confirming their registration to transmit Arizona returns electronically. You can ask to review it if you want to verify their credentials.

How You Sign It

You, and your spouse if filing jointly, must sign and date the form before the ERO transmits the return. ADOR accepts both handwritten and electronic signatures; which one you use depends on your preparer’s software.

The underlying idea is that AZ-8879 carries over the electronic signature you used on your federal return (IRS Form 8879) to your Arizona return.1Arizona Department of Revenue. Information for Tax Preparers The IRS recognizes several e-signature methods: a handwritten signature captured on a signature pad, a typed name, stylus input on a touchscreen, a PIN or password, and a digitized image of a handwritten signature.4Internal Revenue Service. Identity Verification for an Electronic Signature

When you sign electronically, the process includes an identity check. The IRS requires knowledge-based authentication, which pulls questions from your credit report: the name of your mortgage lender, a previous address, the type of car you financed. You answer them in the software and the system confirms your identity before accepting the signature.4Internal Revenue Service. Frequently Asked Questions for IRS E-File Signature Authorization

Three wrong answers takes the e-signature option off the table, and your ERO will need your handwritten signature instead. The authentication may show up as a soft inquiry on your credit report, which does not affect your credit score.

What Happens After You Sign

Your ERO transmits the return package, AZ-8879 data included, to ADOR. The state’s system sends back a digital acknowledgment once the return is successfully received, and your preparer should pass that confirmation along to you.

If ADOR rejects the return, the ERO works through a correction process. Small problems like a mismatched SSN or a math error can usually be fixed and retransmitted quickly. If the corrections change any of the dollar figures that appear on AZ-8879, meaning your adjusted gross income, taxable income, total tax, or the refund or balance due, you’ll need to sign a new form before the revised return goes back out.

Where the Form Goes

Do not mail AZ-8879 to the Arizona Department of Revenue.5Arizona Department of Revenue. E-File Process The signed form stays with your ERO, who must retain it for at least four years from the filing date and produce a legible copy if ADOR asks for one during an audit or over a discrepancy.1Arizona Department of Revenue. Information for Tax Preparers

Ask your preparer for a copy for your own records. Filed with your completed return, it gives you a full paper trail if questions come up later. The ERO’s four-year retention is a minimum, not a cap on how long you should hold your own copy.
