How to Fill Out and Submit California Form 3534: Tax Information Authorization

California Form 3534, the Tax Information Authorization (TIA), lets you give a specific person permission to view your confidential tax records at the Franchise Tax Board. The form has four parts, no fee, and only two ways in: mail it to the POA/TIA Unit, Franchise Tax Board, PO Box 2828, Rancho Cordova, CA 95741-2828, or have your tax professional submit it through MyFTB.1Franchise Tax Board. 2025 Instructions for Form FTB 3534 Tax Information Authorization

What the Authorization Covers

A TIA gives your representative the right to see FTB account information: estimated payments, notices, account history, and compliance status. The representative can be a CPA, an attorney, an enrolled agent, a CTEC-registered preparer, or a trusted family member.2Franchise Tax Board. Tax Information Authorization

It does not let that person act for you. They cannot negotiate with the FTB, sign returns, agree to audit adjustments, or resolve balances. For any of that, you need a Power of Attorney Declaration instead: Form FTB 3520-PIT for individuals or Form FTB 3520-BE for business entities. A TIA also does not cover non-tax debt the FTB collects on behalf of other agencies.3Franchise Tax Board. California Form 3534 – Tax Information Authorization

What to Gather Before You Start

Pull these together first:

  • Your taxpayer ID. Individuals use an SSN or ITIN. Corporations use the California corporation number or FEIN. Partnerships and LLCs use the California Secretary of State number or FEIN.
  • Your current mailing address as the FTB has it on file.
  • Your representative’s full name, mailing address, and phone number.
  • Your representative’s professional ID number: California CPA license, State Bar number, CTEC registration, Enrolled Agent number, or PTIN, whichever applies.1Franchise Tax Board. 2025 Instructions for Form FTB 3534 Tax Information Authorization

If you filed a joint return, each spouse or registered domestic partner must complete a separate Form 3534. One form does not cover both of you.1Franchise Tax Board. 2025 Instructions for Form FTB 3534 Tax Information Authorization

Download the current version from ftb.ca.gov. The FTB will only accept its own TIA form.

Filling Out the Four Parts

Part I: Taxpayer Information

Check one box at the top: Individual, Fiduciary, Business Entity, or 540NR Group Nonresident Return. Only one. Then fill in the fields that match. Sole proprietors check “Individual” and use their SSN. Estates and trusts need a FEIN; a grantor trust that never obtained a FEIN uses the grantor’s SSN. For a deceased individual, use that person’s SSN.1Franchise Tax Board. 2025 Instructions for Form FTB 3534 Tax Information Authorization

Business filers: use the full legal name exactly as the FTB has it. An incomplete business name is one of the most common reasons the FTB rejects a TIA.4Franchise Tax Board. Help with Tax Information Authorization

Part II: Representative

Only an individual can be named. You cannot list a firm. Enter the representative’s full name, mailing address, phone number, and professional ID number. Missing, incomplete, or illegible representative information will get the form rejected.4Franchise Tax Board. Help with Tax Information Authorization

Part III: MyFTB Online Account Access

Check “Yes” or “No” to say whether your tax professional should get full online access to your FTB account. If you check “Yes,” the FTB will mail you a separate authorization code to activate that access. If you check “No,” leave both boxes blank, or check both, the FTB treats it as “No” and your representative is limited to the basic online view.1Franchise Tax Board. 2025 Instructions for Form FTB 3534 Tax Information Authorization

Part IV: Signature

This is where most TIAs die. The taxpayer must sign and date the form by hand. For a business entity, that signer is an authorized officer, partner, or member. The FTB does not accept electronic or stamped signatures on Form 3534.1Franchise Tax Board. 2025 Instructions for Form FTB 3534 Tax Information Authorization Fill in the “Print Name” field too. Leaving it blank is another common rejection trigger.4Franchise Tax Board. Help with Tax Information Authorization

Why TIAs Get Rejected

The FTB publishes its rejection list, and the problems are almost always avoidable:4Franchise Tax Board. Help with Tax Information Authorization

  • Missing taxpayer ID (no SSN, ITIN, FEIN, or SOS number).
  • Incomplete business name that doesn’t match FTB records.
  • Representative name or address missing or unreadable.
  • No signature from an authorized person.
  • “Print Name” field left blank.
  • Missing signature date.

Walk every field before you submit. A rejected form resets the processing clock when you resubmit.

How to Submit

Two options, no fee either way.

MyFTB (tax professionals only). Your tax professional can log in to MyFTB and select “Add TIA Client.” This skips the mail queue entirely and is the fastest route.5Franchise Tax Board. Submit a Tax Information Authorization Individual taxpayers cannot submit a TIA through MyFTB themselves.

Mail. Send the completed form to:

Mail the TIA by itself. Don’t bundle it with a tax return or other correspondence. The FTB generally processes a mailed TIA in about three weeks, longer if they need to follow up for more information.5Franchise Tax Board. How Long It Lasts

A TIA stays active for 13 months from the date you signed it, then expires automatically. If you want the access to continue past that point, file a new Form 3534.2Franchise Tax Board. Tax Information Authorization

How to Revoke It Early

You don’t have to wait for the 13 months to run out. The taxpayer, the business, or the representative can revoke a TIA at any time.2Franchise Tax Board. Tax Information Authorization

To revoke by paper, use Form FTB 3535, Tax Information Authorization Revocation. It’s a separate form from the 3534, so don’t resubmit the original with changes. The 3535 asks for the same taxpayer information from Part I, the representative details from Part II, and a signature and date. Submit a separate Form 3535 for each representative you want removed. As with the TIA itself, each spouse or RDP files their own revocation.6Franchise Tax Board. 2025 FTB 3535 Tax Information Authorization Revocation

You can also revoke online by logging in at ftb.ca.gov/tia.1Franchise Tax Board. 2025 Instructions for Form FTB 3534 Tax Information Authorization One boundary to remember: Form 3535 only cancels a TIA. It will not revoke a Power of Attorney. For that, use Form FTB 3520-RVK.6Franchise Tax Board. 2025 FTB 3535 Tax Information Authorization Revocation
