To get a University of Georgia logo onto a product, you submit the UGA trademark approval form through one of two channels: email it with your vendor’s art proof to trademarks@uga.edu for athletic marks, or file it through the online Asana request form for academic marks. Both tracks require a licensed vendor, a professional art proof, and written approval in hand before anything goes into production.1University of Georgia. Approval Process – UGA Brand Style Guide
Figure Out Which Track You’re On
The form and reviewer depend on which marks appear on your product.
Athletic marks include the oval “G,” the bulldog head, the standing bulldog, and the football helmet mark. These are managed by the University of Georgia Athletic Association. You submit by email to trademarks@uga.edu.
Academic marks include the Arch, the university shield logos, the university seal, and wordmarks like “University of Georgia.” These are managed by the Division of Marketing and Communications. You submit through the online Asana request form.
Protected wordmarks go well beyond the obvious ones. “Georgia,” “UGA,” “Bulldogs,” “Dawgs,” “Between The Hedges,” “Hunker Down,” “Hairy Dawg,” “How ‘Bout Them Dawgs,” and “Attack the Day” all require approval if they appear on your item, whether the item is for sale or for internal use only.2University of Georgia Brand Style Guide. Registered Marks and Verbiage1University of Georgia. Approval Process – UGA Brand Style Guide If your project uses both an athletic and an academic mark, you’ll need to go through both tracks.
What You Need Before You Submit
A Licensed Vendor
You cannot hand a UGA logo file to any printer. The vendor producing your item must hold a current license with the university. For internal campus orders, the Division of Marketing and Communications maintains a downloadable list of approved internal licensees on the brand site.1University of Georgia. Approval Process – UGA Brand Style Guide Not every vendor in OneSource Financials or UGAMart is authorized for trademarked merchandise, so check the licensee list before you place anything.
External vendors who want to manufacture UGA-branded products for retail apply through the FLM CAMPUS portal at brandcomply.com. Fanatics Licensing Management then forwards the application to the university.3Fanatics Licensing Management. I Want a College License – Fanatics Licensing Management Vendors with only an internal license may produce goods for university departments and related entities but cannot sell to consumers or at retail.
An Art Proof From That Vendor
The reviewers will not evaluate a self-made design or a logo file you pulled together on your own. Your licensed vendor must create a professional art proof showing exactly how the mark will appear on the finished product, including placement, size, and colors.4University of Georgia. Submitting for Academic Marks
For projects using the Arch, shield logos, the university seal, or academic wordmarks, complete the online “Request for the Use of Trademarks and Logos” form hosted on Asana. The form asks for your contact information, a description of the product, how it will be used, and the quantity being produced. Attach the vendor’s art proof showing exact logo placement and colors.
The Division of Marketing and Communications reviews academic mark requests and responds by email within up to three business days.1University of Georgia. Approval Process – UGA Brand Style Guide You’ll get either an approval or specific feedback on what needs to change.
Submitting for Athletic Marks
The athletic track runs in two steps. Your licensed vendor first submits the artwork through the FLM CAMPUS system. Then you complete the trademark approval form and email it, along with the art proof, to trademarks@uga.edu.5University of Georgia Athletics. Licensing/Brands – University of Georgia Athletics
The trademarks office reviews the request against athletic brand guidelines and forwards it to the Athletic Association for final sign-off. Two rules catch people off guard. First, athletic mark approvals are granted for one-time use only; the same mark on a future project means a new submission. Second, athletic marks cannot appear alongside any sponsor branding.5University of Georgia Athletics. Licensing/Brands – University of Georgia Athletics
After You Submit
If approved, you’ll receive a signed and dated approval document. Save it. You’ll need to attach a copy to any related purchase requisitions, payment requests, or P-Card paperwork.1University of Georgia. Approval Process – UGA Brand Style Guide The trademarks office keeps a copy on file too. Do not begin production or place orders until that written approval is in your hands.
If the request is denied, the response will tell you which guideline the design violates. Most denials come from incorrect color usage, unauthorized logo modifications, or pairing marks with prohibited product categories. Revise with your vendor and resubmit.
Personal Use: Cakes, Cookies, Grave Markers
If you want UGA marks on a personal item like a graduation cake, wedding cookies, or a grave marker, you don’t need a licensed vendor, but you still need written permission before anything is made.
For athletic marks on a personal item, submit a request through the individual use form on the Georgia Bulldogs athletics site. The Athletic Association reviews and responds by email. For academic marks, use the same Asana request form that departments use; the Division of Marketing and Communications responds within up to three business days.1University of Georgia. Products the University Will Not Approve
Some categories are permanently off the table, so don’t spend time submitting them. The university will not license its marks for alcoholic beverages, tobacco products, weapons, ashtrays, or bottled water, or for any item considered promotional of those categories.5University of Georgia Athletics. Political use is also barred. University employees cannot use a USG registered trademark to express personal opinions on political issues, and state property or resources cannot be used in connection with political campaigns.6UGA Legal Affairs. Political Activities More broadly, no use of university marks can suggest that UGA endorses a particular viewpoint, business, or movement.
