How to Fill Out and Submit the UNR Grade Replacement Request Form

The UNR Grade Replacement Request form is a DocuSign PowerForm available from the Office of Admissions and Records student forms page, and you complete, sign, and submit it entirely online.¹ Filing it swaps an older grade out of your cumulative GPA calculation and substitutes the grade from your most recent attempt at the same UNR course, subject to a 30-credit lifetime cap and a short list of exclusions.²

Before You Open the Form: Check That You Qualify

Grade replacement is for undergraduate students who repeated a course at UNR. Both attempts have to have been completed at the University of Nevada, Reno. A grade earned at another institution, even one within the Nevada System of Higher Education, cannot be used to replace a UNR grade.³

The lifetime cap is 30 credits, and only 100- through 400-level courses count. Graduate-level courses (500 and above) are not eligible. Once you hit 30 credits, later repeats leave both grades in your GPA. The policy does allow replacement across a course number change if the academic content stayed the same, so MATH 126 can replace MATH 126E.²

Grades You Cannot Replace

Two categories are permanently off the table, regardless of how much of your 30-credit allowance you have left:

Credit originally earned through a departmental exam rather than by taking the class.²
A permanent F assigned as a sanction for a Level C academic dishonesty violation. Neither the grade replacement policy nor the grade appeal policy applies to that F.⁴

Filling Out the Form

Open your unofficial transcript in MyNEVADA first so you can copy course details exactly as they appear on your record. A mismatch between the form and your transcript will slow processing.

The form asks for:

Your full legal name as it appears in the enrollment system.
Your ten-digit NSHE ID.
The course prefix and number for each course you want replaced, such as CHEM 121 or ENG 102.
The semester and year you originally took the course and the term you repeated it.
An optional conditional grade threshold.²

The conditional threshold is worth understanding. If you submit the form before your repeat grade posts, you can set a floor, so the replacement only goes through if the final repeat grade meets or exceeds what you specified. If you leave the field blank, the most recent grade replaces the old one even if it is lower. Setting a B- floor, for example, prevents an accidental swap of a D for a D+.

Submitting and Confirming

Because the form runs through DocuSign, submission happens digitally once all required signatures are collected. If you have trouble with DocuSign, Admissions and Records directs students to email mynevada@unr.edu.¹

Once the form routes through and is processed, log back into MyNEVADA and check your unofficial transcript to confirm the change. The original grade stays on your permanent record with a notation showing it has been excluded from your GPA calculation. Probation or dismissal status recorded for the original semester will not be retroactively removed even if your recalculated GPA would have kept you in good standing.³

When to File

There is no narrow semester filing window. You can submit the form retroactively, even semesters after you finished the repeat, as long as your degree has not been conferred. Once a degree is awarded, grade replacement is permanently unavailable.³

Timing does matter in one situation. If you are on academic probation or facing dismissal and want the replacement reflected in your standing for the current term, submit the form by the last day of classes. Academic standing updates at the end of each fall and spring semester, and standing that has already been recorded will not be changed after the fact.²

What Grade Replacement Does Not Fix

The form changes your UNR institutional GPA. It does not change how federal financial aid or professional school application services see your record.

UNR’s financial aid office states that “the institutional academic renewal policy does not supersede federal SAP guidelines and all original coursework grades will be used when determining a student’s SAP standing.” Repeated coursework also counts toward the pace and maximum timeframe components of Satisfactory Academic Progress.⁵

Law and medical school application services take the same posture. The Law School Admission Council includes all grades and credits for repeated courses in its GPA calculation, so an original grade that appears on your transcript in any form gets factored back in.⁶ AMCAS instructs applicants to report every attempt of a repeated course and counts every grade “even if your school does not.” If a school replaced the original grade with a special symbol, applicants still have to enter the original grade and attempted credits, and skipping that step can get an application returned.⁷

Grade replacement is a real tool for keeping your UNR GPA where you need it, moving off probation, or making a graduation requirement. Just know that outside UNR, both grades typically still travel with you.
