How to Fill Out and Submit the Virginia Tech Course Withdrawal Form

Virginia Tech’s course withdrawal form lets you drop a single class after the normal drop deadline and take a “W” on your transcript instead of a letter grade. One boundary before you start: this form is for dropping one or two courses while staying enrolled in at least one other class. What To Have Ready Before You Open the Form

Pull up your detailed class schedule on Hokie SPA (Course Registration and Schedule Menu → Classic Student Schedule → Detail Schedule) and copy down these fields for the course you’re dropping:1Virginia Tech. How To Course Withdraw

  • The five-digit Course Registration Number (CRN) for the specific section you’re enrolled in.
  • The subject prefix and course number, such as MATH 2114 or ENGL 1106.
  • The credit hours the course carries.
  • Your grade option — A–F or Pass/Fail.

You’ll also enter your full legal name, your nine-digit Hokie Passport ID (PID), and the academic term. Check the CRN twice against your schedule. If you enter the wrong five-digit number, you may withdraw from a course you meant to keep, and there’s no guarantee that gets reversed.

Where To Submit the Form

Submission depends on your college. The College of Engineering, for example, uses an electronic Course Withdrawal Request Form on its academic forms page.1Virginia Tech. Confirm which version applies to you with your college’s advising office or your academic dean’s office before you fill anything out.

If your college tells you to use the Registrar’s version, send it to that address rather than to your dean’s office.

Confirming the W Posted

Once your withdrawal is processed, a “W” shows up in the grade column for that course on your unofficial transcript in Hokie SPA. If it hasn’t appeared within a few business days of the expected turnaround, follow up with the Registrar’s office instead of assuming the form went through.

What a W Costs You

There is no tuition refund for a course dropped under the W policy. The Bursar’s Office states plainly that undergraduate and graduate students receive no refund of tuition and fees when using the course withdrawal option.5Virginia Tech. A W also moves the wrong number in your financial aid math. To keep federal, state, and institutional aid under Satisfactory Academic Progress, you have to successfully complete at least 67 percent of all attempted coursework.6Virginia Tech. Satisfactory Academic Progress (SAP) A W counts as attempted but not completed. If you’ve had prior withdrawals or incomplete grades, run the ratio before you file another.

Full-Time Status and Special Cases

Undergraduates need at least 12 credit hours to count as full-time at Virginia Tech.7Virginia Tech. Undergraduate Course Catalog and Academic Policies Because withdrawn hours still register as attempted, the practical effect on housing, insurance, and scholarships depends on each program’s own rules. If the withdrawal would drop you below 12 hours of active coursework, ask your advisor and any relevant offices what changes on their end.

F-1 and J-1 Students

Federal immigration rules require full-time enrollment for visa holders: 12 credit hours for undergraduates and 9 for graduate students without an assistantship. Virginia Tech’s Cranwell International Center says you must get prior authorization from an International Student Advisor before dropping below full-time enrollment.8Virginia Tech. GI Bill Users

A W creates a potential debt to the VA. The VA treats a withdrawal as a non-punitive grade and generally reduces benefits retroactively to the first day of the term for that course, which means paying back tuition, fees, and the monthly housing allowance tied to that enrollment. Two things can help. The VA automatically grants mitigating circumstances for up to six credits the first time you reduce your course load and request the exception, and if you can document that circumstances beyond your control prevented you from continuing, the VA may waive the repayment.9Veterans Affairs. Before You Commit One of Your Three W’s

  • Calculate your current grade from your professor’s posted marks. Students often think a course is going worse than it is.
  • Run GPA scenarios comparing a C or D now against a W plus retaking the course later. Your quality points and GPA hours are on your Hokie SPA unofficial transcript.
  • Check the minimum grade your major requires for that course, whether it’s a prerequisite for something else, and how the withdrawal shifts your graduation timeline.
  • Talk to your academic advisor. They may raise options you hadn’t considered, such as switching to Pass/Fail if your college still allows it.

Three withdrawals is the whole allotment. Once one is used, you don’t get the slot back, so it’s worth being sure the W does more for you than a low grade would.
