To find your CSU ID, go to the website of the specific California State University campus where you enrolled and open its ID lookup tool. Most campuses post the link near their main login page under a label like “Forgot your CWID?” or “ID Lookup.” You enter a few identity fields, and the tool returns your Campus-Wide ID on screen within seconds.
What to Have Ready Before You Start
A mismatch on any field will block the search, so pull these together first:
- Your legal last name exactly as it appeared when you first applied or enrolled.
- Your date of birth. Some tools use dropdown menus rather than a typed field.
- Your Social Security Number. Some campuses want the full nine digits; San José State, for instance, asks only for the last four.
- Access to the email address on file, in case the tool sends results by email rather than displaying them.
If you never provided an SSN, which is common for international students, your school should have issued an alternative identification number to use in its place.1Social Security Administration. International Students and Social Security Numbers
Using Your Campus Lookup Tool
Each CSU campus runs its own lookup page rather than sharing a system-wide tool. Start on the website for your specific campus, not the central calstate.edu site.
At Cal State Fullerton, the tool is called the CWID Lookup. It asks for your SSN, last name, and birthdate, and returns your Campus-Wide ID immediately when the data matches.2Cal State Fullerton. Campus-Wide Identification (CWID) San José State runs a similar tool at sjsuone.sjsu.edu/idlookup that asks for your last name, birthdate, and the last four digits of your SSN.3San José State University. SJSU ID Lookup Tool Other campuses follow the same pattern: a short form, a few identity fields, and an instant result.
Type carefully. A single wrong letter in your last name or an off-by-one digit in your SSN will return nothing, even when the record exists.
When the Lookup Can’t Find You
A failed search almost always traces back to one of three things: a typo, a name on file that no longer matches your current legal name, or records that predate the campus’s digital system. Before contacting anyone, run the lookup again with variations. Try your maiden name if you’ve married since enrolling, or the original spelling from your first application.
If that still returns nothing, contact your campus directly. The Registrar’s Office handles identity verification for current and former students; the Admissions Office helps applicants who haven’t yet enrolled. Expect to show a government-issued photo ID.
At Cal State Fullerton, alumni who can’t locate their CWID through the self-service tool fill out an Alumni Information Form online. The submission is encrypted and sent to Alumni Records, and the university follows up within 10 business days.2Cal State Fullerton. Campus-Wide Identification (CWID) Other campuses have comparable fallback processes, though response times vary.
Fixing a Name Mismatch
If your legal name has changed since you enrolled, the lookup won’t find you until the university’s records are updated. Submit a name change request to your campus registrar along with supporting legal documents such as a marriage certificate, divorce decree, or court order.
At CSU Channel Islands, you complete a Legal Name Change/Name Correction Request form and upload it with your supporting documentation through the student portal. Once processed, the change propagates to your campus login, learning management system, and email, with updates happening roughly every two weeks. One wrinkle: if you’ve ever been employed by the campus in any capacity, including as a student assistant, the name change has to go through Human Resources rather than the Registrar.4CSU Channel Islands. Name/Demographic/Address Changes
Each campus has its own version of the form and its own timeline, so check your registrar’s website for exact instructions.
If You’re Looking for Your Cal State Apply Login Instead
Cal State Apply, the system used to submit your initial admission application, is separate from any campus ID lookup. If that’s what you actually need, the login page at calstate.cas.myliaison.com has a “Forgot your username or password?” link directly below the sign-in fields. Follow it and the system walks you through resetting your credentials using the email address tied to your account.5California State University. Cal State Apply Applicant Login Page
Your CAS ID number, which is specific to the application, appears under your name in the upper-right corner once you’re logged in. If you need it before you can log in, or if the automated reset isn’t working, contact Cal State Apply support at 857-304-2087 or support@calstateapply.myliaison.com.6Liaison International. Why the University Can’t Just Tell You
Your campus ID isn’t information the university can hand out on request. Under federal regulations implementing FERPA, a student ID number is not treated as directory information, and therefore cannot be publicly disclosed, unless the number alone cannot be used to access your education records without an additional authentication factor like a password or PIN. Social Security Numbers are never directory information under any circumstances.7U.S. Department of Education. FERPA – Protecting Student Privacy
That’s why the online lookup makes you verify your identity first, and why staff at the counter will ask for photo ID before sharing the number. The university can’t legally skip that step, even when you’re standing in front of them.
