How to Get a Georgia Withholding Tax Number Online

To get a Georgia withholding tax number online, register through the Georgia Tax Center (GTC), the Department of Revenue’s self-service portal. Submit the withholding tax registration with your federal EIN and business details, and the account number arrives by email in about 15 minutes.1Department of Revenue. Do You Need to Register

If you pay anyone for work performed in Georgia, you almost certainly do. The DOR defines “employer” broadly to cover corporations, LLCs, partnerships, sole proprietorships, trusts, nonprofits, government agencies, and individuals who hire household help such as nannies or housekeepers.2Department of Revenue. Georgia requires withholding in two situations. You withhold from Georgia residents for services they perform anywhere, inside the state or across state lines. Out-of-state employers with remote workers in Georgia generally need to register too. Having an employee in the state typically creates nexus, which triggers withholding obligations.3Department of Revenue. C Corporations – FAQ A narrow exception exists under federal Public Law 86-272 for employees whose activity is limited to soliciting orders for tangible goods that are approved and shipped from outside Georgia. Outside that scenario, the withholding obligation applies.

What to Have Ready Before You Start

The online application does not let you save partway through and return later, so pull everything together first:

  • Your legal business name, any trade name, physical and mailing addresses, and entity type.

  • Name, title, phone, and email for the primary contact person.
  • Bank account and routing numbers for electronic tax payments.

Registering Through the Georgia Tax Center

All withholding tax registrations run through the GTC.5Department of Revenue. Register a New Business in Georgia If you already have a GTC login for another tax type, such as sales tax, you can add withholding to your existing account. Otherwise, create a new one.

Once you’re signed in, select “Register a new tax account” and choose “Withholding Tax” as the account type. The system walks you through your EIN, business details, address, and expected withholding amounts. You’ll be asked whether you expect to withhold more than $200 per month, which the DOR uses to assign your initial filing frequency (quarterly under that threshold, monthly at or above it).6Department of Revenue. After you submit, the withholding tax account number arrives by email within about 15 minutes.1Department of Revenue. Tax Registration It ends in two letters that distinguish it from other tax account types. Save the number somewhere you can find it: every return and payment you file will require it.

What to Do Once You Have the Number

Collect Form G-4 From Each Employee

Before you can withhold the correct amount from a paycheck, the employee has to complete a Georgia Form G-4, the state counterpart to the federal W-4. If an employee doesn’t submit a properly completed G-4, you withhold as if the employee is single with zero allowances, which pulls the maximum from the check.7Department of Revenue. A few G-4 rules trip up new employers. If an employee claims more than 14 allowances or claims exempt status, mail the entire form to the DOR at the address printed on it. Don’t accept a G-4 claiming exempt status if the employee also filled in Lines 4 through 7, and don’t accept a form claiming extra allowances unless the employee completed the worksheet. If you know a G-4 is wrong, don’t honor it: withhold at the single-with-zero rate until you get a corrected version.7Department of Revenue. Know Your Filing Frequency

The DOR assigns your filing frequency using a lookback period, the 12 months ending June 30 of the prior calendar year.6Department of Revenue. Monthly filers owe under $50,000 for the lookback period but at least $200 per month. Semi-weekly filers exceed $50,000 for the lookback period. New employers land in monthly or quarterly based on the estimated amounts entered during registration, and the DOR can adjust the frequency as actual liability becomes clear.

One threshold to watch from day one: once the total tax withheld or required to be withheld on a G-7 return exceeds $500, all payments must be electronic going forward.8Department of Revenue. Georgia Employer’s Tax Guide There’s no going back to paper after crossing that line.

Closing the Account If You Stop Having Georgia Employees

When you no longer have workers in Georgia, close the withholding account so the DOR stops expecting returns. An open account with unfiled returns generates penalty notices even when you owe nothing. You have three options:9Department of Revenue. How Do I Close a Business in Georgia?

  • Through GTC: sign in, select your withholding account, go to the Management section, click “Request to Close Account,” enter the cease date, and submit. Allow up to 48 hours for processing.
  • By email: send a letter on company letterhead signed by the owner or an authorized power of attorney, stating the effective close date, to Withholding.Issues@dor.ga.gov.
  • By phone: call the DOR directly to request closure.

File all outstanding returns and pay all taxes through your final payroll date before you request closure.
