How to Get a New York State Tax Transcript: Online, Mail, or Phone

To get a New York State tax transcript, you have two options: log in to the Department of Taxation and Finance’s Individual Online Services portal for e-filed return copies and wage transcripts, or mail Form DTF-505 to request a photocopy of any return, including paper-filed ones. Online is immediate and free. The mail route takes longer and charges a small per-page fee for certified copies. Which you should use depends on how you originally filed and what the person asking for the document actually wants.

Figure Out Which Document You Need

“Transcript” gets used loosely. The state can give you three different things, and they aren’t interchangeable.

A wage transcript is a summary of what your employer reported to New York State: wages paid, state and local taxes withheld, employer name and ID, and the tax year. An e-filed return copy is a reproduction of the return you submitted electronically. A photocopy of a paper return is a copy of the physical document you mailed in, and it can be certified if you need it for an official use.

Before you request anything, ask whoever needs the document which of the three they want. A lender saying “state tax transcript” might mean the wage-and-withholding summary, a full return, or a certified copy of one. Each takes a different path.

E-Filed Return Copies

If you e-filed, log in to your Individual Online Services account on the Department of Taxation and Finance website and open the option to view your e-filed returns.1Department of Taxation and Finance. Get a Copy of My Return Multiple recent filing periods are available, and you can view and print them immediately.

You’ll need to create an account if you don’t have one, and the system verifies identity using information from a recent return or a government-issued ID number. Joint filers each need their own account to access their own records. A tax professional can pull a client’s return through a Tax Professional Online Services account, but only if the client has signed E-ZRep Form TR-2000 authorizing that access.1Department of Taxation and Finance. Wage Transcripts

Wage transcripts come from the same portal. The transcript shows employer name and ID, total wages, state and local withholding, and the tax year, going back up to ten years. That depth makes it useful for older discrepancies or loan applications that ask for extended income history. Request a Copy by Mail With Form DTF-505

If you paper-filed, or if you need a certified copy rather than a screen printout, use Form DTF-505, Authorization for Release of Photocopies of Tax Returns and/or Tax Information. It’s on the Department of Taxation and Finance website.1Department of Taxation and Finance. Get a Copy of My Return

To complete the form, you’ll need the Social Security numbers of the primary filer and any spouse listed on the return, the exact mailing address that appears on the return you want, and the tax type (Personal Income Tax) with each year specified. You sign under penalty of perjury, and anyone named on a joint return should also sign.

Mail it to: NYS Tax Department, Disclosure Unit, W A Harriman Campus, Albany, NY 12227-0917.

Standard transcript requests are free. Certified photocopies of full returns cost twenty-five cents per page. The department will not send transcripts by email or fax, so the response goes by mail to the address on file.

Request by Phone

You can ask for a paper transcript by calling 518-485-6654, Monday through Friday, 8:30 a.m. to 4:30 p.m. Have your Social Security number and the tax years ready. The result is the same as a mailed DTF-505: a paper copy sent to your address on file.

If Someone Else Is Requesting on Your Behalf

Form DTF-505 has a section (Part C) for directing the department to send records to a third party such as a lender, accountant, or attorney. If a person other than the taxpayer signs the form, they need legal authority to do so, which usually means attaching a power of attorney like New York’s Form POA-1 that specifically covers requests for tax information.3Department of Taxation and Finance. For a deceased taxpayer, an executor or personal representative submits Form DTF-505 with a copy of the death certificate and either Letters Testamentary or Letters of Administration from the probate court establishing authority over the estate.3Department of Taxation and Finance. How Long It Takes

Online is immediate. Once you’re logged in, e-filed returns and wage transcripts are available to view and print with no waiting.

Mailed and phoned requests generally take five to ten business days, which covers the department’s review and postal delivery. If anything on your request doesn’t match the department’s records, such as a slightly different address or a transposed Social Security digit, expect a delay while the discrepancy is resolved. If nothing has arrived after ten business days, call 518-485-6654 to follow up. The most common holdup is an address mismatch, so verify your address on file with the department before you submit.

Privacy Limits Worth Knowing

Section 697 of the New York Tax Law binds department employees to strict secrecy over return information, and disclosure outside a judicial order or other legal authorization is unlawful.4New York State Senate. New York Tax Law 697 – General Powers of Tax Commission In practice, that translates to a few limits you should plan around. Transcripts go only to the address the department has on file for you, not to a different address written on the request form. Nothing goes by email or fax. And a third party requesting your records has to provide valid written authorization before anything is released. If you’ve been a victim of identity theft or suspect a fraudulent return was filed in your name, contact the department to flag your account before you submit a transcript request.
