How to Get Your Wisconsin W-2 and File Your State Return

What Boxes 15, 16, and 17 Tell You

Most employers post W-2s on a secure payroll portal, and you can often download yours before a paper copy arrives. If your employer uses a third-party provider like ADP or Paychex, log in through that provider’s employee portal. When no digital option exists, the form goes to your last address on file, so if you moved during the year, update your address with payroll before January.

If Your W-2 Doesn’t Show Up

Start with your employer’s payroll department. An outdated address is the most common cause and the fastest to fix.

If the employer doesn’t respond or has closed, wait until the end of February and then call the IRS at 800-829-1040 to file a formal W-2 complaint. Have your Social Security number, the employer’s name and address, and an estimate of your wages and withholding from your final pay stub ready.3Internal Revenue Service. You still have to file on time. If the W-2 never arrives, use IRS Form 4852 as a substitute and estimate your income and withholding from your final pay stub as accurately as possible.4Internal Revenue Service. Using the substitute can delay a refund while the IRS verifies your figures, and if the real W-2 later shows different numbers, you’ll need to file an amended return.

If the Numbers on Your W-2 Are Wrong

Ask your employer’s payroll department to issue a corrected Form W-2c. The W-2c is the only official way to fix the record with both the IRS and the Wisconsin Department of Revenue, and when the correction affects Wisconsin withholding, your employer must also file an amended reconciliation with the state.6Wisconsin Department of Revenue. Filing Your Wisconsin Return

If You Work Across State Lines

Wisconsin has income tax reciprocity with Illinois, Indiana, Kentucky, and Michigan.12Wisconsin Department of Revenue. Wisconsin residents working in any of the four pay Wisconsin income tax, not the other state’s.

Reciprocity covers only employee wages such as salaries and commissions. It does not cover rental income, gains from selling property, or lottery winnings.12Wisconsin Department of Revenue. For states without a reciprocity agreement, you may owe tax to both the state where you work and the state where you live. Wisconsin generally provides a credit on your resident return for taxes paid to the other state, but you’ll file in both.

How Long to Keep Your W-2

Keep copies of your W-2 for at least four years from the later of the return’s due date or the date you filed.
