To fill out Michigan Form MI-W4, enter your name, address, and Social Security number on Lines 1 through 4, indicate on Line 5 whether this is your first Michigan job, write the number of personal and dependent exemptions you’ll claim on Line 6, add any extra per-paycheck withholding on Line 7, skip Line 8 unless you qualify for a full exemption, sign the form, and give it to your employer. Michigan uses an exemption-based withholding system, so the number you put on Line 6 directly controls how much state income tax comes out of each paycheck. For 2026, each exemption is worth $5,900 against Michigan’s flat 4.25 percent income tax rate.1Michigan Department of Treasury. 2026 Michigan Income Tax Withholding Guide
The MI-W4 is separate from the federal W-4. Filling out one doesn’t satisfy the other, and every Michigan employer needs both on file.2State of Michigan – Department of Treasury. Employee’s Michigan Withholding Exemption Certificate
Lines 1 Through 5: Your Personal Information
Put your full legal name, home address, and Social Security number on Lines 1 through 4. Take a second look at the SSN before you sign; a transposed digit sends your withholding to the wrong account at the state level.
Line 5 asks whether this is your first Michigan job. If you check “Yes,” write in your date of hire.2State of Michigan – Department of Treasury. Employee’s Michigan Withholding Exemption Certificate
Line 6: Counting Your Exemptions
Line 6 is the one that matters. Enter the total number of exemptions you’re entitled to claim on your Michigan individual income tax return (Form MI-1040). That’s usually one for yourself, one for a spouse who isn’t claiming their own exemption elsewhere, and one for each qualifying child or qualifying relative under the Internal Revenue Code.3Michigan Legislature. Michigan Code 206.30 – Income Tax Act of 1967 You can count dependents on Line 6 even if your income is too high to claim the federal child tax credit for them.
Two rules bind the number you write:
- It cannot exceed what you’d actually claim on your MI-1040.
- You cannot claim the same exemption with two employers at the same time.4Legal Information Institute. Michigan Administrative Code R 206.24 – Withholding Exemption Certificate
Splitting exemptions incorrectly across jobs is one of the fastest ways to underwithhold for the year.
Line 7: Adding Extra Withholding
If you expect to owe more than the standard exemption math covers, because of a second job, investment income, or self-employment on the side, enter a flat dollar amount on Line 7. Your employer will pull that additional amount out of every paycheck on top of the regular calculation.2State of Michigan – Department of Treasury. Employee’s Michigan Withholding Exemption Certificate For most people this is a cleaner fix than claiming fewer exemptions than they’re actually entitled to.
Line 8: When You Owe No Michigan Withholding
Most employees leave Line 8 blank. Use it only if you fall into one of the specific categories below.
Line 8a: Full Exemption From Michigan Withholding
You may claim full exemption on Line 8a only if every one of these is true:
- Your employment is intermittent, temporary, or less than full time.
- Your personal and dependent exemptions exceed your annual taxable compensation.
- You also claimed exemption from federal income tax withholding on your W-4.
- You did not owe any Michigan income tax for the previous year.
All four conditions must be met.2State of Michigan – Department of Treasury. Employee’s Michigan Withholding Exemption Certificate The exemption does not carry over from year to year; you have to file a new MI-W4 to renew it.4Legal Information Institute. Line 8b: Reciprocal States, Military Spouses, and Tribal Members
Michigan has reciprocal income tax agreements with six states: Illinois, Indiana, Kentucky, Minnesota, Ohio, and Wisconsin.5Michigan Department of Treasury. Are My Wages Earned in Another State Taxable in Michigan if I Am a Michigan Resident If you live in one of them and commute into Michigan for work, you owe income tax to your home state instead of Michigan. Claim the exemption on Line 8b by writing in your home state and checking the box.
Line 8b also covers two other groups:
- Nonresident spouses of military personnel stationed in Michigan.
- Members of a Native American tribe with a tax agreement with Michigan whose principal residence is within the designated agreement area, or enrolled members of a federally recognized tribe without a Michigan agreement who both reside and earn income within that tribe’s Indian Country.2State of Michigan – Department of Treasury. Signing and Submitting the Form
The signature line is a legal attestation under penalty of perjury that your claimed exemptions are accurate.2State of Michigan – Department of Treasury. Employee’s Michigan Withholding Exemption Certificate Hand the signed form to your employer’s payroll or human resources department. You do not mail it to the state.
The form instructions note that handwritten signatures may be required, and the Department of Treasury flags the same point in its fillable-forms disclaimer.6State of Michigan. 2025 Withholding Tax Forms If your employer uses an electronic onboarding platform, confirm with payroll that their system meets state requirements before assuming a digital signature is accepted.
One trigger to know about: if you claim 10 or more exemptions on Line 6, or claim you are fully exempt on Line 8a, your employer is required to send a copy of your form to the Michigan Department of Treasury.2State of Michigan – Department of Treasury. Employee’s Michigan Withholding Exemption Certificate It’s an automatic reporting step, but it does mean the state has your form on file and could follow up if the number looks inconsistent with your actual return.
When You Need to File a New MI-W4
You must submit a revised MI-W4 within 10 days if the number of exemptions you’re entitled to drops. The form lists two specific triggers:
- Your spouse, whose exemption you’ve been claiming, is divorced or legally separated from you, or starts claiming their own exemption with their own employer.
- A dependent no longer qualifies under the Internal Revenue Code, most commonly a child aging out of eligibility.
You also owe a new form within 10 days if your residency status changes from nonresident to resident.2State of Michigan – Department of Treasury. Employee’s Michigan Withholding Exemption Certificate You can file a new MI-W4 voluntarily any time your circumstances change, whether that’s marriage, a new child, or picking up a second job.
If you never file a MI-W4, your employer is required to withhold Michigan income tax with zero exemptions.2State of Michigan – Department of Treasury. Employee’s Michigan Withholding Exemption Certificate That’s the maximum possible withholding on every paycheck, so filing the form is always in your interest.
Getting the Exemption Count Right
Claiming more exemptions than you’re entitled to leads to underwithholding and a balance due on your MI-1040, which can trigger state penalties for underpaid estimates.7Michigan Department of Treasury. Did You Receive a Notice for Underpayment of Estimates Claiming fewer than you’re entitled to, or defaulting to zero because you never filed the form, means the state keeps money out of your paychecks all year and returns it as a refund. Count honestly on Line 6, and if your situation is complicated (a working spouse, a second job, non-wage income), use Line 7 to add a few extra dollars per paycheck rather than manipulating the exemption count.
