What To Have Ready Before You Call

Agents verify your identity before pulling up any account, so missing one piece of information usually means hanging up and starting over. For personal tax matters, have your Social Security Number or Individual Taxpayer Identification Number. Businesses need their Federal Employer Identification Number.

If you’re calling about a specific return, know the tax year. If a letter or notice prompted the call, find the notice number printed in the box labeled “Notice Number” at the top of the document; that code lets the agent go straight to your file.2North Carolina Department of Revenue. When Online Is Faster Than Calling

Several of the most common reasons people dial NCDOR can be handled without waiting on hold.

  • Check your individual income tax refund with the “Where’s My Refund?” tool at ncdor.gov/refund instead of calling the refund line.
  • Pay individual income tax, notice balances, and other tax bills through the department’s online payment portal.
  • File state returns at no cost through NC Free File if you qualify. Sales and use returns (E-500) and withholding returns (NC-5) can be filed online as well.
  • File an individual income tax extension electronically.

For a status check or a payment, the website is faster than any phone call.3North Carolina Department of Revenue. Home Page

Mailing Addresses

If the agent tells you to send something in, NCDOR uses different PO Boxes depending on what it is. Using the wrong one can delay processing by weeks.

In-Person Service Centers

NCDOR runs 11 service centers across the state in Asheville, Charlotte, Durham, Elizabeth City, Fayetteville, Greensboro, Winterville, Hickory, Raleigh, Rocky Mount, and Wilmington. Each handles resolving notices, taking payments, and working through questions in person. The main Raleigh headquarters is not set up for walk-in assistance, so don’t go there expecting help.5North Carolina Department of Revenue. Office Locations

Walk-in days vary by location, and some centers accept walk-ins only one day a week on a first-come, first-served basis. Scheduling an appointment through the department’s website is the safer approach. Bring the same information you’d need for a phone call: your Social Security Number or EIN, any notices you’ve received, and the tax year in question.6North Carolina Department of Revenue. Having Someone Else Call on Your Behalf

NCDOR will not discuss your tax information with an accountant, enrolled agent, or family member unless you’ve filed a power of attorney. Form GEN-58 grants another person authority to represent you before the department and access your confidential records. You can sign and submit the form electronically through DocuSign, mail a signed paper version to PO Box 25000, Raleigh, NC 27640-0005, or fax it to 919-715-1786.7North Carolina Department of Revenue. Power of Attorney and Declaration of Representative GEN-58

File GEN-58 well before you need the representative to act. Electronic submissions process faster than paper. If a notice deadline is approaching, use the DocuSign option.

If You Owe and Can’t Pay

Interest accrues on unpaid balances, and the failure-to-file penalty runs 5% of net tax due for each month a return is late, up to 25%. Calling 1-877-252-3252 to discuss payment options before the balance grows is worth the hold time.8North Carolina Department of Revenue.
