NYS Professional License Renewal: Fees, CE, and Online Filing

A New York State professional license renewal runs through the New York State Education Department’s Office of the Professions, takes about fifteen minutes online, and happens every three years for most professions and every two years for physicians. Your license itself lasts for life, but you cannot legally practice or use your professional title in New York without a current registration on file.1New York State Senate. What to Have Ready Before You Log In

The Office of the Professions mails a renewal notice several months before your current registration expires. That notice carries a seven-character PIN you need to access the online system. Lost the notice, or never got one? You can pull the PIN from the department’s PIN Retrieval System using your name, license number, and the last four digits of your Social Security number.2Office of the Professions. You will also enter your full Social Security number during the application. This is not optional. Federal law under 42 U.S.C. § 666 requires states to collect it on professional license applications for child support enforcement purposes.3Office of the Law Revision Counsel. 42 USC 666 – Requirement of Statutorily Prescribed Procedures to Improve Effectiveness of Child Support Enforcement

Update your mailing address before you start, because the department mails your new registration certificate to whatever address is on file. You are separately required to notify the Office of the Professions within 30 days of any address change.2Office of the Professions. Online Registration Renewal

The application asks about criminal convictions, pending charges, and disciplinary actions from any state since your last registration period. Answering yes does not stop you from submitting online, but you must separately mail a written explanation, along with your license numbers from any other jurisdictions, to the Office of the Professions in Albany.2Office of the Professions. Renewal Fees by Profession

What you owe depends entirely on your profession. Nurse practitioners pay $35 and registered professional nurses pay $73. Psychology, physical therapy, and pharmacy renewals cost $179. Architecture, dentistry, and veterinary medicine are $242. Physicians pay the highest fee, $600, for a two-year registration period.4Office of the Professions. The online system accepts credit cards only: Visa, MasterCard, or American Express. No electronic checks. Fees are nonrefundable once submitted.5Office of the Professions. Miss the deadline and a late filing penalty of $10 per month applies for every month your registration is overdue.1New York State Senate. That avoids the late fee entirely.

Continuing Education: Attest Now, Prove Later

Many licensed professions in New York must complete a set number of continuing education hours before renewing. The specific hour requirement varies by profession, and not every profession has one. Pharmacists, for example, need 45 hours per three-year registration period, with no more than 22 hours from self-study courses.6Cornell Law School. New York Code 8 NYCRR 63.7 – Continuing Education Licensed clinical social workers and licensed master social workers need 36 hours per triennial period, with self-study capped at 12 hours.7Office of the Professions. Continuing Education for Licensed Clinical Social Worker Check the requirement for your own profession before you renew.

You do not upload certificates during renewal. The application asks whether you have completed your required hours, and your answer carries legal weight. The Office of the Professions audits licensees, and you must keep records of every completed learning activity for at least six years, including verification of attendance, sponsor name, dates, and hours.8Office of the Professions. Record Keeping and Reporting If audited, you have to produce those records on request. People often complete the hours but keep sloppy records, then cannot prove anything when the audit letter arrives.

Submitting the Renewal Online

The online portal opens during the final five months of your current registration period and stays open up to four months after it expires.2Office of the Professions. Online Registration Renewal Outside that window, you cannot use it.

Enter your license number and seven-character PIN, then work through screens confirming your identity, address, and professional history. Answer the criminal conviction and disciplinary questions, indicate whether continuing education is complete, and choose whether to add the photo ID card or switch to inactive status. The system then routes you to a secure payment page for your credit card. Completing payment generates a confirmation you can use as temporary proof of filing.

Processing takes up to three business days. Once approved, the department mails your new registration certificate to the address on file.2Office of the Professions. When You Cannot Use the Online System

A few situations push you off the standard renewal page. If your registration lapsed more than four months ago, you have to submit a Delayed Registration Application through a separate online portal.2Office of the Professions. Online Registration Renewal

If you have had a legal name change, file a separate Name Change Form with supporting documentation such as a marriage certificate, court order, or divorce decree. The form can go through the Office of the Professions website or be mailed to Albany. Incomplete forms or missing documentation will delay processing.10New York State Education Department Office of the Professions. If Your Registration Has Already Lapsed

A lapsed registration does not mean your license is gone. Your New York license stays valid for life unless it is formally revoked, annulled, or suspended by the Board of Regents.1New York State Senate. New York Education Law 6502 – Duration and Registration of a License What you lose is the right to practice or hold yourself out as licensed while the registration is expired.

Within four months of expiration, use the standard online renewal and pay the $10-per-month late fee. After four months, use the Delayed Registration Application.2Office of the Professions. Online Registration Renewal If you are being initially licensed or resuming practice during the last two years of a triennial period, you may receive a prorated refund of one-third of the registration fee for each full year already elapsed.1New York State Senate. New York Education Law 6502 – Duration and Registration of a License

The longer you wait, the more complicated reinstatement gets. Late fees accumulate, and you may need to show you satisfied any continuing education that accrued during the lapse. If you know you will be away from practice for a stretch, notify the department and register as inactive before your current period ends. Inactive registrants skip the late fee and can reactivate through the standard renewal when they return.

Why Practicing on an Expired Registration Is a Serious Risk

Under New York Education Law § 6512, practicing a profession without proper authorization is a Class E felony, and that includes anyone whose registration has lapsed who continues to practice or hold themselves out as licensed.11Office of the Professions. Education Law 6512 – Unauthorized Practice a Crime A Class E felony in New York carries up to four years in prison. Aiding or abetting three or more unlicensed individuals in practicing is also a Class E felony under the same statute.

Short of criminal charges, practicing while unregistered is professional misconduct under Education Law § 6509, which specifically lists willful failure to register as grounds for discipline. Penalties range from censure and reprimand to suspension or revocation. Professional liability insurance policies also commonly exclude work performed without valid credentials, which can leave you personally exposed to a malpractice claim for anything you did during the lapse.

Automatic Extensions for Active Duty Military

New York provides automatic registration extensions for military personnel called to active duty. Under New York Military Law § 308-b, any professional whose license, certification, or registration would expire during active duty receives an automatic extension covering the full period of service plus twelve months after release from active duty.12New York State Senate. New York Military Law 308-B – Extension of License You do not need to file anything for this extension to apply. The only exceptions are limited permits issued for two months or less and credentials revoked or suspended for cause.

Confirming Your Renewal Went Through

The Office of the Professions runs a public verification tool covering more than 1.5 million licensees across 50-plus professions. You can search it by name or license number to see current status.9Office of the Professions. Online Verification Searches Results show the licensee’s name, profession, license number, location, date of original licensure, and registration status. Status categories include REGISTERED, INACTIVE, NOT REGISTERED, DECEASED, LICENSE SUSPENDED, LICENSE REVOKED, and LICENSE SURRENDERED.

After you submit your renewal, check the tool within a few business days to confirm your status has updated to REGISTERED. If it still shows your old status after a week, contact the Office of the Professions directly, because something in your application may need attention before your certificate can be issued.
