Ohio Social Work Trainee License: Eligibility, Application, and Renewal

Ohio social work trainee registration is a free, voluntary credential from the Ohio Counselor, Social Worker, and Marriage and Family Therapist (CSWMFT) Board for master’s-level students in field placement. You apply online through eLicense Ohio, upload proof that you are enrolled in a field or practicum course, and complete BCI and FBI fingerprint background checks. The registration itself has no fee, but you pay for the background checks.

Voluntary in Law, Often Required in Practice

Ohio law does not require students to hold SWT status to complete field placement, and choosing not to register cannot be held against you when you later apply for licensure.¹²

The catch is that your placement agency can require it as a condition of accepting you, and many hospitals, behavioral health centers, and community agencies do. If your program’s field coordinator tells you to register, the site has almost certainly made it a prerequisite. Even where no one requires it, SWT status gives you a verifiable credential that appears on the board’s public license lookup.

Who Qualifies

SWT registration is limited to master’s-level students. BSW students do not qualify.³ You must meet all three of these conditions:

Enrolled in an MSW program accredited by the Council on Social Work Education (CSWE).¹
Currently enrolled in, or about to begin, a practicum, internship, or field work course.
Not already holding an Ohio social work license at any level.

CSWE-accredited MSW programs require a minimum of 900 hours of supervised field instruction, and your SWT registration covers those hours at your approved placement site.⁴

How to Apply

Start four to six weeks before your field placement term begins.⁵ The whole process is online. There is no paper application.

Create Your eLicense Account

Go to eLicense.ohio.gov and create a user account. Log in, click “Apply for a New License,” pick the CSWMFT Board from the dropdown, and choose SWT (Social Worker Trainee). Follow the prompts. There is no fee for the SWT registration itself.⁵

Upload Proof of Enrollment

You must upload a document showing you are enrolled in a qualifying field education course. The board accepts a letter or email from your instructor, program director, or advisor. A letter must be on university letterhead; an email must come from an official school email address. The document has to include all four of the following:⁵

Your name
The field or practicum course name
Start and end dates of the term
Your anticipated graduation date

General enrollment verification letters and acceptance letters do not qualify. Missing any of the four items is a common cause of rejection and resubmission delays.

Complete the BCI and FBI Background Checks

You need both a Bureau of Criminal Investigation (BCI) check and a Federal Bureau of Investigation (FBI) check. Results must be sent from Ohio BCI directly to the CSWMFT Board. You cannot hand-deliver printed copies.⁵ Fingerprints are taken at authorized WebCheck locations around the state. Background check costs typically run $60 to $85 for both combined, depending on the provider.⁶

If you completed a BCI check recently for another purpose, you may be able to have it resubmitted to the CSWMFT Board through BCI. FBI checks cannot be resubmitted; you have to redo the fingerprinting.⁵

Supervisor Requirements at Your Placement

Your field placement supervisor must hold one of these Ohio credentials: a licensed social worker (LSW) with a master’s degree in social work, a licensed independent social worker (LISW), or a licensed independent social worker with the supervision designation (LISW-S).¹

If your placement involves social psychotherapy, meaning diagnosing and treating mental and emotional disorders, an LISW-S is required. For case management, community organizing, or other non-clinical work, an LSW with a master’s or a standard LISW can supervise you.¹ Confirm your supervisor’s credential before you start.

What Your SWT Status Lets You Do

As an SWT, your scope of practice matches that of a licensed social worker, but with closer supervision and one hard limit: your status is valid only at your school-approved field placement site during the dates shown on the board’s online verification.⁷ It does not authorize independent practice or work at a different site.

Use the title “SWT” (Social Worker Trainee) exactly as written, without extra words or modifications. You are also required to tell clients that you are a student working under supervision through both your internship site and your academic program.⁵

Ohio law also restricts who can use the title “social worker” or related titles, and the CSWMFT Board can discipline trainees for licensing violations, including refusing to renew a registration, imposing fines up to $500 per incident, or requiring corrective courses.² The more common practical risk of not registering: an agency that requires SWT status will not let you start placement, which can push your graduation back a semester.

How Long It Lasts and How to Renew

Your registration is valid through the enrollment period shown on your proof of enrollment, up to twelve months at a time. You can extend it for additional terms by submitting updated proof of enrollment for each period.⁷

To renew, upload a new enrollment verification document through eLicense in the same format as your original: a letter or email from your program with your name, course name, and term dates. The board may not process renewals until roughly two to four weeks before the new term starts, so a short delay after you submit is normal.

Your registration expires automatically if you are no longer enrolled, are removed from your program, or otherwise stop being a student in the program you listed when you registered.⁷ Monitor your own expiration date and begin transferring or closing out client relationships before your registration lapses.

Post-Graduation Extension

If you finish your MSW but have not yet completed everything needed for full licensure, you can request a six-month extension of your SWT registration starting from your graduation date, with an official transcript as evidence.² The extension bridges the gap while you prepare for and take the licensing exam, so you can keep working at your placement site after graduation.

What Comes After the SWT

The SWT is a stepping stone. After completing your MSW from a CSWE-accredited program, the next credential is typically the Licensed Social Worker (LSW). The LSW requires passing a board-approved licensing examination, submitting a separate application with the CSWMFT Board, and completing another background check. From there, many social workers pursue the LISW or LISW-S for independent practice and clinical supervision authority.

Your SWT field hours count toward your educational requirements for the LSW because they are part of your accredited MSW program, which is a prerequisite for licensure. SWT registration does not substitute for any post-graduate supervised experience required at the LISW level.
