To withdraw from all your courses at UTRGV, download the UTRGV student withdrawal form from the U Central Student Enrollment Forms page, sign it by hand, and submit it in person at a U Central office or by email to registrar@utrgv.edu.1The University of Texas Rio Grande Valley. Student Enrollment Forms The form itself takes a few minutes. What matters is when you submit it, because the date controls your tuition refund, what shows up on your transcript, and how much federal aid you keep.
What the Form Covers and What It Asks
The withdrawal form is a one-page PDF listed under “Withdrawals” on the Student Enrollment Forms page. It applies when you are dropping every course you are enrolled in for a single term. If you want to drop one or two classes and stay enrolled in the rest, that is a course drop and uses a different process.
The form asks for your name as it appears on your student record, your UTRGV ID number (labeled “ID #”), the specific semester and year you are withdrawing from, and a reason selected from checkbox options including health, financial, personal, and other categories.2University of Texas Rio Grande Valley. UTRGV Student Withdrawal Form The reason is for institutional records. A standard withdrawal does not require supporting documents.
How to Sign and Submit It
UTRGV does not accept electronic signatures on this form. You can type into the PDF, but you have to print and sign it by hand before turning it in.3The University of Texas Rio Grande Valley. Student Forms One exception: if a UTRGV staff member tells you to submit electronically, you type “Submitted by UTRGV Email” on the student signature line instead.2University of Texas Rio Grande Valley. UTRGV Student Withdrawal Form
You have two ways to submit:
- Walk the signed form into a U Central office on the Edinburg or Brownsville campus.
- Email the signed form to registrar@utrgv.edu. Include your name, UTRGV ID number, and the term you are withdrawing from.4The University of Texas Rio Grande Valley. Dropping/Withdrawing
Keep proof of what you sent: the sent email, a scanned copy of the signed form, or a timestamped photo. If anything goes wrong with processing, that record is what protects you. Students who do not officially withdraw through the Office of the Registrar stay responsible for tuition, fees, and the academic consequences of remaining enrolled.4The University of Texas Rio Grande Valley. If the Term Hasn’t Started Yet
If you registered but decide not to attend before the first day of class, you can withdraw through the ASSIST student portal and skip the paper form entirely. If a hold blocks ASSIST, email the Office of the Registrar from your UTRGV email with your full name, student ID, and the term. The email has to be sent before the first class day.5University of Texas Rio Grande Valley. Withdrawing from the University
When You Withdraw Decides What It Costs You
The form itself can only be used between the first day of class and the drop deadline for that term.2University of Texas Rio Grande Valley. UTRGV Student Withdrawal Form Inside that window, the exact day you submit determines two separate things: your tuition refund percentage, and whether withdrawn courses leave W grades on your transcript.
Spring 2026, a standard 16-week semester, shows how the schedule works:6The University of Texas Rio Grande Valley. General Academic Calendar
- 100% refund: withdraw by Friday, January 16, 2026.
- 80% refund: by Monday, January 26, 2026.
- 70% refund: by Monday, February 2, 2026.
- Census date: Wednesday, February 4, 2026. Withdrawals before census leave no record on your transcript. Withdrawals after census produce a W in each course.
- 50% refund: by Monday, February 9, 2026.
- 25% refund: by Monday, February 16, 2026.
- Last day to withdraw with a W: Thursday, April 9, 2026.
After the 25% deadline passes you get no tuition refund, but you can still submit the form and receive W grades up to the final withdrawal date. After that last date, the standard form is no longer accepted. Summer sessions and accelerated program modules run on much shorter calendars; UTRGV’s accelerated graduate programs use seven-week modules with earlier cutoffs, so pull the calendar for your specific term.7The University of Texas Rio Grande Valley. What a W Does to Your Record
A W does not factor into your GPA.8University of Texas Rio Grande Valley. Frequently Asked Questions – Dropping Courses It does, however, count as attempted hours for Satisfactory Academic Progress. SAP requires you to complete at least 67 percent of all attempted coursework, and withdrawn courses count as attempted but not completed.9The University of Texas Rio Grande Valley. Satisfactory Academic Progress (SAP) – Financial Aid One withdrawal semester usually will not sink your pace, but combined with prior drops, incompletes, or failed courses it can cost you financial aid eligibility.
Financial Aid: The Refund and the Return Are Not the Same Thing
Withdrawing triggers a federal Return of Title IV Funds calculation. The days you attended divided by the total days in the semester equals the percentage of federal aid you earned. Past the 60 percent point in the semester, you keep all your Title IV aid. Before that, the unearned portion goes back to the federal programs.10Federal Student Aid. General Requirements for Withdrawals and the Return of Title IV Funds
UTRGV uses the date you initiate the withdrawal as your last date of attendance for this calculation. The covered programs include Pell Grants, Direct Loans, Direct PLUS Loans, FSEOG, TEACH Grants, and Iraq and Afghanistan Service Grants. Federal Work-Study is exempt: you keep what you earned up to your withdrawal date but cannot work after that.11University of Texas Rio Grande Valley. Title IV Financial Aid Regulations
Here is the trap: the tuition refund schedule and the R2T4 return are separate calculations. UTRGV might refund 80 percent of your tuition while federal rules force you to return a different portion of your aid. If the two numbers leave you underwater, UTRGV will bill you for the difference. Federal loan borrowers who drop below half-time also have to complete exit counseling through studentaid.gov.
The Texas Six-Drop Rule
Texas law caps undergraduate students at public universities at six total course drops across their entire college career, including drops at other Texas institutions, under Texas Education Code Section 51.907.12Texas Public Law. Texas Education Code Section 51.907 – Limitations on Number of Courses Courses dropped after the census date count toward this cap. A full withdrawal where every course receives a W can burn through several drops in a single semester.
Once you hit six, you cannot drop another course without filing a separate appeal through UTRGV’s appeals process.13The University of Texas Rio Grande Valley. Online Services Dual-credit or dual-enrollment courses dropped before high school graduation do not count.12Texas Public Law. Texas Education Code Section 51.907 – Limitations on Number of Courses If you are near the limit, talk to a U Central advisor before you submit the form.
Things the Withdrawal Form Does Not Handle
Submitting the form withdraws you from classes. It does not touch anything else, and a few of those “anything elses” have teeth.
Housing. UTRGV’s housing agreement is binding for the full academic year, and early termination fees climb as the semester progresses, running up to a $1,000 fee plus forfeited security deposit and prorated room and board charges after the fall census date.14The University of Texas Rio Grande Valley. Housing Cancellation If you live on campus, file a housing cancellation request online separately; it can take up to three weeks to process. Meal plans can be canceled within 10 days of activation, with usage charged against your balance.15The University of Texas Rio Grande Valley. Dining Services
F-1 visa status. Withdrawing from all courses ends your full-time enrollment. Under an authorized early withdrawal, your SEVIS record is terminated and you have 15 days from the termination date to leave the United States or transfer to another institution.16Study in the States. Terminate a Student Talk to UTRGV’s international student office before you submit anything.
Military call-up. Students called to active military service during a semester can take a full refund of tuition and fees, an incomplete grade in each course if eligible, or (at the instructor’s discretion) a final grade in courses where substantial work was done.17University of Texas Rio Grande Valley. Military and Veterans Student Support, Benefits and Policies UTRGV requires reasonable proof of the fact and duration of service, and the Military and Veteran Success Center can walk you through it.
Medical hardship. Checking the “Health” box on the standard form does not trigger a special medical review. If you need relief outside the normal refund schedule, like a full refund past the deadlines or removal of grades already assigned, file a separate appeal through UTRGV’s appeals portal and upload your own supporting documentation. UTRGV states it will not contact doctors on your behalf.18UTRGV. Registrar Appeals
