If you get locked out, close the browser completely and start over. That resolves most access problems.

The Tax Division asks that you wait at least ten weeks after filing before calling for a status update.2West Virginia Tax Division. Frequently Asked Questions – Individual Income Tax Refunds go out on a rolling basis each business day, so a call before then rarely produces new information.
What the Status Messages Mean
The tool will show one of four stages:
- Return Received means the Tax Division has your return but hasn’t started processing it.
- Processing means the return is under review. You don’t need to do anything unless you receive a separate notice.
- Refund Approved means your return cleared review and the refund has been authorized.
- Refund Sent means the money is on its way, either by direct deposit or mailed check depending on what you chose when filing.
If the status sits unchanged for weeks, that usually points to a review or a problem with the return rather than a software glitch.
How Long Processing Should Take
Electronic returns move faster than paper ones. The Tax Division doesn’t publish a guaranteed turnaround for e-filed returns, but they’re issued each business day as returns clear review.2West Virginia Tax Division. Frequently Asked Questions – Individual Income Tax Paper returns require manual data entry; allow at least ten weeks before you contact a representative. Returns filed close to the April deadline sit in a larger queue and take longer purely because of volume.
Why Your Refund Might Be Delayed
A handful of situations commonly stall a refund past the normal window:
- Income mismatches. If what you reported on Form IT-140 doesn’t line up with what employers or other payers reported to the state, your return gets pulled for manual review.
- Math errors or missing information. Calculation mistakes or incomplete entries trigger a correction. The division may adjust your refund and mail a notice explaining the change.
- Address changes. Returns involving an address change sometimes take longer.2West Virginia Tax Division. Frequently Asked Questions – Individual Income Tax
- Identity verification. The Tax Division screens for fraudulent refunds. If your return is flagged, you’ll need to verify your identity before the refund releases.
Incorrect direct deposit information is another delay source. If a bank rejects the deposit, the funds come back to the Tax Division and a paper check gets mailed instead, adding weeks. If the money lands in the wrong account, recovering it means working with both the bank and the Tax Division.
If Part of Your Refund Was Taken
Even after a refund is approved, the state can reduce or redirect it to cover certain debts. This is called an offset. The Tax Division withholds part or all of the refund and sends it to the agency you owe.
Common triggers include unpaid child support, which West Virginia’s child support enforcement agency can intercept to collect both current and past-due amounts,3Cornell Law Institute. West Virginia Code of State Rules 97-6-11 – Collection of Support Through the Use of a State Income Tax Offset and unpaid court costs, fines, and penalties requested by West Virginia magistrate courts.4West Virginia Tax Division. When an offset happens, you’ll get a notice showing how much was withheld and where it went. Any leftover amount comes to you through your chosen delivery method.

If your refund check never arrived, was destroyed, or was stolen, call Taxpayer Services at 304-558-3333 or 1-800-982-8297 to request a stop payment and replacement.
